Who we are
Lincs Bin Care is a local bin cleaning business operating in Lincolnshire, United Kingdom. Lincs Bin Care is the data controller for the personal information described in this notice.

Information we collect
Depending on how you contact us or use our services, we may collect:
- your name;
- home or service address and postcode;
- email address and telephone number;
- the bin cleaning services you are interested in or ask us to provide;
- enquiries, messages, service notes and communications with us;
- appointment, job, invoice and payment-related records if you become a customer; and
- limited technical and usage information generated when you use our website or online forms, such as referral or campaign information and analytics data where applicable.
We do not ask you to provide special category information such as health information through our registration form.
Why we use your information
We use personal information to:
- record and respond to registrations of interest and enquiries;
- tell you when Lincs Bin Care is launching or becomes available in your area where this relates to your registration;
- provide, schedule and manage bin cleaning services;
- communicate with customers about bookings, services and accounts;
- prepare quotes, invoices and business records;
- understand how people find and use our registration process so we can improve our service; and
- meet legal, tax, accounting and regulatory obligations.
Our lawful bases
Under UK data protection law, we need a lawful basis for using personal information. Depending on the purpose, we rely on:
- Legitimate interests — to handle pre-launch registrations and enquiries, respond to people who have asked to hear about our service, administer the business, and understand the effectiveness of our launch activity where our interests do not override your rights.
- Contract — where using your information is necessary to take steps at your request before providing a service, or to provide and manage a service you have booked.
- Legal obligation — where we must keep or use information to comply with applicable law, tax or accounting requirements.
- Consent — where we specifically ask for optional consent, for example for a type of marketing or technology that requires it. You can withdraw consent at any time.
Jobber and other service providers
We use Jobber as our customer and job management platform. When you submit our online registration or request form, information you enter is processed through Jobber and made available to Lincs Bin Care. Jobber acts as a service provider/data processor for customer information it processes on our behalf.
We may also use trusted providers for services such as business email and productivity tools, website hosting/security, and analytics. These currently include Microsoft 365, Cloudflare and Google Analytics where applicable. We only use providers where they are needed for running and securing the business or understanding our service.
Some providers and their subprocessors may process information outside the United Kingdom, including in Canada and the United States. Where UK data protection law requires safeguards for an international transfer, we expect the relevant provider arrangements and lawful transfer mechanisms to apply.

Analytics and cookies
Our main temporary website is designed to be simple. Our online request process may use analytics or similar technologies to help us understand how people reach and use it. Where consent is legally required before a non-essential cookie or similar technology is used, it should not be used until the required choice has been provided. We keep our use of analytics under review as our website and booking systems develop.
How long we keep information
Pre-launch registrations of interest that do not become customer records will normally be kept until we have launched and assessed availability in the relevant area, and for no longer than 12 months after that point unless there is a continuing reason to keep them or you ask us to delete them sooner.
If you become a customer, we keep relevant customer, service, invoice and transaction records for as long as reasonably necessary to provide the service, deal with queries and meet applicable tax, accounting and legal record-keeping requirements. We delete or anonymise information when we no longer have a reason to keep it.
How we protect your information
We take reasonable and proportionate steps to protect personal information against loss, misuse and unauthorised access. These include using reputable hosted business systems, access controls, strong account security, secure devices and software updates, and limiting access to people who need the information for the business. We also aim to minimise unnecessary local copies and exports of customer information.
No online system can guarantee absolute security, but we review the measures we use as the business and the information we hold develop.
Your rights
Depending on the circumstances, UK data protection law gives you rights over your personal information. These can include asking us for a copy of your information, asking us to correct inaccurate information, asking us to delete or restrict information, objecting to certain uses, and withdrawing consent where we rely on consent.
